Pastoral Care 10 New Features
^ The following is a list of advancements from version 9re to version 10. Version^ 10 is a fully network program and feature's our free multi user license,^ meaning you can install the program on as many computers as you would like^on the condition it remains within the local church that purchased the program.

^

CarePlus:
^ Since the release of Pastoral Care 9re state governments within Australia have^ been bringing in legislation requiring churches to hold and manage information^ on both volunteers and employed people within a church who work with children,^ Sunday School teachers being the most common group of people impacted by^ this legislation. The legislation has financial penalties against a church^ that does not meet the legislation requirements. Currently Queensland has^ the strictest legislation called "Blue Card" while other states^ either have brought in their own legislation or are currently formatting^ their legislation. Victoria's "Working with Children" legislation^will be in force from July 2007 for Victorian churches.

^

Pastoral Care 10 has a totally new area called "CarePlus" which^ is specifically designed to assist the church to meet their legal requirements. "CarePlus" has^ been engineered with a broad open framework so that the church is able to setup^ the program for each of the different state requirements with the ability to^ be expanded as state legislation evolves over time.

^

As a development team, we have endeavored to build a feature that will overtake^ all legislative requirements putting Australian Churches well in front of other^ organisations in their ability to manage and report on "Working with^ Children" issues.

Security is a strong focus in CarePlus because of the sensitive nature of^ Information stored and managed within its area of control. As well as the usual^ Pastoral Care login security, an additional password must be entered to enter^ CarePlus. Auditing of who accessed CarePlus is automatically recorded at the^ time of login and leaving the CarePlus area. All areas within CarePlus can^ be locked down based on a user's password. An audit record is also kept^ automatically when a user changes a persons Risk Rating, Current Status, Review & Incident^ Status indicating who made the change, when the change occurred and what the^ change was.

^

CarePlus has the ability for attaching documents to a person in the format^ of PDF, Word, Jpg or Bmp so that copies of documents can easily be viewed when^ working with a CarePlus person. A special backup program is built within CarePlus^ for archiving all document files attached to people.

^

A scheduler allows Pastoral Care to automatically notify the user that some^ date criteria's are about to expire on certain people. This way you will^ know who needs to be followed up well before their authority to work with children^ expires.
^
^ CarePlus has a variety of different reports allowing the user to design the^ information to go in the report as well as filters to find specific people^ with specific CarePlus data. We have also added a report template function^ to let you save your report as a template making regular reporting of specific^ people and information so much faster and easier.

^

A statistics report also exists analysing all the data entered into CarePlus.^ An Export feature is available within CarePlus so that data can be exported^ to a comma delimited file so that the data can be loaded into a spread sheet;^ this has been included so that churches are able to email data to their head^ office when the head office requires information to be kept at a centralised^ place.

^

CarePlus is a major addition to Pastoral Care 10 which has many user defined^ setups designed specifically for the local church in assisting them to now^ meet their legal requirements. For those states that are waiting for the finalisation^ of their state legislation, CarePlus is still a great tool for keeping track^ of police checks and recording any incidents that may occur.

^

Windows Vista:
^ All previous editions of Pastoral Care will NOT work on Windows Vista as Microsoft^ has made significant changes within the new operating system. Pastoral Care^ 10 is the only edition which will operate on Windows Vista as well as Windows^XP, 2000 and Windows 98se.

^

To prepare your Pastoral Care data for migration to Windows Vista either now^ or in the future you must have Pastoral Care 10 installed on your current Windows^ operating system running your older version of Pastoral Care so that Pastoral^ Care 10 can convert your data to the new Pastoral Care format which can then^ be easily loaded onto a Windows Vista machine running Pastoral Care 10 using^ the Pastoral Care 10 internal backup and restore program.

This is the first time in Pastoral Care's twenty year history such an^ incompatibility has been presented to us between Windows editions, we encourage^ churches to consider this as a serious systems issue in protecting and preparing^ your valuable data for the future by installing Pastoral Care 10.

Email:
^ Many new features have been added to the email functionality in Pastoral Care^to enhance your email experience from the program.

  • Individual email identity allowing people to return mail to the^ sender

  • New Report showing email content and who the mail was delivered to

Pastoral Care Directory Version 4:
^ The Pastoral Care Directory program is a software tool for giving out to the^ congregation so that can have their own personal church directory on their^ computer. This software can be installed from either the Pastoral Care 10^Installation CD, or downloaded from our web site.

The Directory program now comes with the following new features:

  • Integrated email with family and personal email addresses

  • Pastoral Care^ reports can now be distributed to families via the data file that is distributed^ to families for populating the Directory Program.

Bar Codes:
^ The roll program now supports scanning of barcodes for recording attendance^ status of individuals and families. This is fully supported with the addition^ of Bar Code reports that can be used to create roll sheets and or name tags^with Bar Codes.

Bar Codes are also integrated into the Tagging area of Pastoral Care allowing^ bar code tagging for bulk processing of all tagging functions.

^ QuickDates:
^ A new function has been added called ‘QuickDate', this is accessed^ from the toolbar at the main menu as well as everywhere within the program^ from the tools drop down menu. QuickDate allows you to quickly create a report^ from any of the date fields within Pastoral Care. This includes Birth dates,^ Visitation dates, Family Events, all set up dates by the user for the family^ dates and individual dates. You just double click on the date you want and^ a report is given to you straight away. Search Criteria includes – All^ Dates – Within the next X days – dates within a month – Age^ setup – Actual Date & Anniversary Date. All reports can be ordered^ by Surname – By month – or by date

^ New Registration Method:
^ The key disk which has been supplied with previous versions of Pastoral Care^ has now been replaced with a new mechanism for registering your church name^ into the program. You can either register automatically from the Pastoral Care^ 10 program provided you have an active WEB connection, or you can register^ via our web site, or you can register via mail. Once registered you will be^ sent a permanent activation key that can be used to activate your installation^ of Pastoral Care, and any subsequent installations.

^

Notes attached to Dates:
^ The Roll, Roster, Weekly Statistics and Financial program all based their records^ around a date. Now in all these areas a user can attach notes to any of the^dates as reminders of any specific event that took place on those dates.

^

Automatic Update feature:
^ A new feature has been included within Pastoral Care for those computers connected^ to the Internet for the program to check to see if a new update is available^when Pastoral Care starts.

^

General Improvements:
^ The screen area of Pastoral Care and the Pastoral Care Directory program has^ now been increased so that a minimum screen resolution of 1024 X 768 is required;^ this resolution is also the minimum recommended resolution for Windows XP^and Vista.

^

Any user who knows their way around Pastoral Care 9re will find they will^ have no problems in finding their way around Pastoral Care 10. This version^ has many new features without the user having to relearn the program, a user^ who knows Pc9re will also know their way around PC10.

^

Within the Export area of Pastoral Care before you create the export file^ an option is given to specify the path and the file name of the export file^ for a family record, Weekly statistics or Mailing list export file.

^

The Backup and Restore programs within Pastoral Care now have a USB Flash^ Drive option for quickly backing up and restoring data to a USB Drive. The^ backup and restore programs have a new browse option with greater ease to select^ the path to save the backup file as well now you can specify the backup file^ name. New security measures built into the backup file allows the specifying^ of any file name so if a zip file is chosen to be loaded into Pastoral Care^ that was not a Pastoral Care backup file the program will inform you of this.

The main menu Address Book now has a "FastFind" feature where^ you can type in a family surname. As you type the highlight bar will move to^ the closest family surname with the current letters entered, pressing the enter^ key will then open the family file in FastFind.

^

The Booked In / Book out area has a new browse option for selecting the path^ for saving or retrieving the booked out file; it also now allows you to specify^ the file name of the file.

^

The roll program has a new method of finding people waiting to receive an^ attendance. You can now type in the person's name and as you type the^ program searches for the person highlighting the person who meets the search^ criteria as you type. For example you may only need to type in "HICK" to^ find the "HICKINGBOTHAM" family

^

In The Roll program four reports existed (Last Entry – Last Attendance – Last^ Absence – Last Record) which were only run from the last date entered^ into the roll program, now you can select any date entered within the roll^ program to run these reports from.

^

Within the Roll program an "Append Records" option now exists.^ This gives the user the ability to add attendances to any existing attendances^ on a person using Bar Codes, Keyboard or the Mouse.

^

A new feature has been added to the suppress window of the program. Suppress^ is different from filters in that it just suppresses the data so that it is^ not displayed in a report where filters restricts who is to be put in a report.^ Previously the suppress function operated by suppressing all those groups selected;^ now an option exists to suppress all groups not selected. This feature has^ been added to Status - Individual groups – Family Groups – Ministry^ gifts – Individual Dates – Family Dates – Flexi field. For^ churches with many groups it is now a lot quicker to create a report on a group^ where you wish to display only a few groups.

^

Global set up has a new tab added to it called ‘Backup'. Now you^ can setup Pastoral Care to any position on your computer or network to backup^ the files to, previously the files were stored in the Pastoral Care program^ folder. Pastoral Care automatically rotates through five different Hard Disk^ folders, which the backup program creates under the folder of your choice.^ Also an option now exists to disable the Backup Prompt every time you exit^ Pastoral Care.

^

A new automatic feature has been added when you either make an individual^ or family archived; the program automatically removes the archived people from^ any roster duties they are attached to as well as removing them from any associations^ with people. Previously this was a manual process of doing this in the roster^ program after archiving people.

^

Within the tagging program a new function has been included where you can^ choose to tag an individual (as previous versions did) or to tag the whole^ family at once, so if you tag any member within the family the whole family^ becomes tagged or untagged. This function also works with the new Barcode tagging^ method.

^

Security has been expanded for users as they enter the program and enter their^ password to lock down both visitation and or personal notes within the family^ notebook.

^

A new tab has been included in the global setup area called "File Export".^ Here you can choose the path to send files exported from within the report^ viewer. This affects the areas of RTF, Text, PDF, HTML & Excel exports^ as well as the report viewers own native format used to save and retrieve reports.^ Within the report viewer there is a drop down list of different export formats,^ the program will now remember the last chosen export format so the next time^ you enter the report viewer it has that option already selected for you. This^ option is individual workstation sensitive so on a network each work station^ will remember the option chosen only on that workstation.

^

Within the Data analysis area of the program, the people analysis report has^ a new report field included informing the total amount of family files are^ included.

^

At the main menu in the Pastoral Address book the number of families displayed^ in the address book is displayed.

^

Within the roster program a new feature has been added when assigning people^ to a duty, now you can automatically sort the duty list alphabetically.

^

In the Roster program a function exists in the report area where you can select^ which duties you want on a report and in which order they are to be displayed,^ now a function exists in this area so you can save the combination of the duties^ and which ones have been selected to retrieve at a later date.

^

Spell checking has been added to the Notes & Information document areas^ created to send out to the directory program.

^

Spell checking has been added to the scribble pad

^

Pastoral Care Network mode has been improved to better improve the integrity^ of the Pastoral Care data when the program is run on a network.

^

The Pastoral Care Dr Program has been improved to allow a single option to^ remove all locks within Pastoral Care when in Network mode. Locks are used^ to protect your data so for example one user can't delete a person while^ another user is adding data to them in the Roll program. Locks can still be^ unlocked individually within the network setup area but this new option in^ the Doctor program unlocks everything in one function.

Once PC10 is loaded onto your system the default setup for the intro sound^ of "Welcome to Pastoral Care" and on exiting "Thank you for^ using Pastoral Care" is turned off. This can be turned back on if so^ desired by entering the Global setup area and choosing the audio tab to turn^ the option on.

^

In the word-processing text writing areas within PC10 the keyboard short cuts^ have been added Ctrl+B for Bold, Ctrl+T for italics and Ctrl+U for underlining.

You can now type in the person's name and as you type the^ program searches for the person highlighting the person who meets the search^ criteria as you type. For example you may only need to type in "HICK" to^ find the "HICKINGBOTHAM" family

In The Roll program four reports existed (Last Entry – Last Attendance – Last^ Absence – Last Record) which were only run from the last date entered^ into the roll program, now you can select any date entered within the roll^ program to run these reports from.

Within the Roll program an "Append Records" option now exists.^ This gives the user the ability to add attendances to any existing attendances^ on a person using Bar Codes, Keyboard or the Mouse.

^

A new feature has been added to the suppress window of the program. Suppress^ is different from filters in that it just suppresses the data so that it is^ not displayed in a report where filters restricts who is to be put in a report.^ Previously the suppress function operated by suppressing all those groups selected;^ now an option exists to suppress all groups not selected. This feature has^ been added to Status - Individual groups – Family Groups – Ministry^ gifts – Individual Dates – Family Dates – Flexi field. For^ churches with many groups it is now a lot quicker to create a report on a group^ where you wish to display only a few groups.

Global set up has a new tab added to it called ‘Backup'. Now you^ can setup Pastoral Care to any position on your computer or network to backup^ the files to, previously the files were stored in the Pastoral Care program^ folder. Pastoral Care automatically rotates through five different Hard Disk^ folders, which the backup program creates under the folder of your choice.^ Also an option now exists to disable the Backup Prompt every time you exit^ Pastoral Care.

A new automatic feature has been added when you either make an individual^ or family archived; the program automatically removes the archived people from^ any roster duties they are attached to as well as removing them from any associations^ with people. Previously this was a manual process of doing this in the roster^ program after archiving people.

^

Within the tagging program a new function has been included where you can^ choose to tag an individual (as previous versions did) or to tag the whole^ family at once, so if you tag any member within the family the whole family^ becomes tagged or untagged. This function also works with the new Barcode tagging^ method.

Security has been expanded for users as they enter the program and enter their^ password to lock down both visitation and or personal notes within the family^ notebook.

^

A new tab has been included in the global setup area called "File Export".^ Here you can choose the path to send files exported from within the report^ viewer. This affects the areas of RTF, Text, PDF, HTML & Excel exports^ as well as the report viewers own native format used to save and retrieve reports.^ Within the report viewer there is a drop down list of different export formats,^ the program will now remember the last chosen export format so the next time^ you enter the report viewer it has that option already selected for you. This^ option is individual workstation sensitive so on a network each work station^ will remember the option chosen only on that workstation.

Within the Data analysis area of the program, the people analysis report has^ a new report field included informing the total amount of family files are^ included.

^

At the main menu in the Pastoral Address book the number of families displayed^ in the address book is displayed.

^

Within the roster program a new feature has been added when assigning people^ to a duty, now you can automatically sort the duty list alphabetically.

^

In the Roster program a function exists in the report area where you can select^ which duties you want on a report and in which order they are to be displayed,^ now a function exists in this area so you can save the combination of the duties^ and which ones have been selected to retrieve at a later date.

^

Spell checking has been added to the Notes & Information document areas^ created to send out to the directory program.

Spell checking has been added to the scribble pad

Pastoral Care Network mode has been improved to better improve the integrity^ of the Pastoral Care data when the program is run on a network.

^

The Pastoral Care Dr Program has been improved to allow a single option to^ remove all locks within Pastoral Care when in Network mode. Locks are used^ to protect your data so for example one user can't delete a person while^ another user is adding data to them in the Roll program. Locks can still be^ unlocked individually within the network setup area but this new option in^ the Doctor program unlocks everything in one function.

Once PC10 is loaded onto your system the default setup for the intro sound^ of "Welcome to Pastoral Care" and on exiting "Thank you for^ using Pastoral Care" is turned off. This can be turned back on if so^ desired by entering the Global setup area and choosing the audio tab to turn^ the option on.

In the word-processing text writing areas within PC10 the keyboard short cuts^ have been added Ctrl+B for Bold, Ctrl+T for italics and Ctrl+U for underlining.

This is a powerful program, but very unintuitive and difficult to learn. Unless you run a big church I would stick with a flat file database in Excel.
